How to Create an Event - Adding a Series Schedule

Building an Event Series Schedule
After you have built your first event series, it is time to schedule it. The scheduler will appear in the new event series creation flow, or you can always access the schedule builder from the Event Series overview.
Dates and Times
It is possible to bulk add time slots, or add them manually.
Manual Entry
Manual Entry allows you to easily create up to 15 unique time slots by simply choosing the date and time. Once set, these time slots will promptly appear in the Schedule Preview.
Bulk Add
Schedule Range
Set the Schedule Range from the event's start to end date. Don't fret over things like holidays or closures now, as those can be managed later. You can make up to 500 timeslots in this process. If you need more, shorten your range.
Time Slots
Use Single Time per day if you only want to display or create one event/entry time per scheduled day.
Use Multiple times per day if you want to do timed ticketing entry. With this option, you’ll need to set how often/spaced out your entry slots are.
Weekly Schedule
Keep Set times on days individually unchecked if every day in your schedule has the same operating hours. Then just set your operating hours with the Last Time Slot being the Last Entry time.
Check Set Times on Days Individually
Use this if you have variance in operating hours between days of the week.
Here you can set operating hours for each individual day of the week.You can also schedule a gap in operating hours, if for example you are closed for a break in the late afternoon.
Display Options
This allows you to display each event as a duration. For example if you want to show your events as “4:00 PM - 6:00 PM” instead of just “4:00 PM”
Exclude Dates
If you have dates that are closed due to holidays or other operational reasons, enter them here to exclude them from your schedule.
For example, excluding Monday September 5 means that no events will be built for that day, even if it falls within the schedule settings above.
Schedule Preview
As you add dates and times to your schedule, you’ll see them appear in the Schedule Preview calendar on the right side of the page.

You can click any day to see the full list of time slots drafted, and already existing on that day. New events are easily distinguished from existing ones with the ‘New’ tag.
The Schedule Preview updates in real time as you make changes to the dates, time ranges, and exclusions.
You will also receive notifications if you have drafted duplicate events (new schedules on the same time as existing ones), or are attempting to build too many events in one schedule.
Launch and Sale Settings
These settings control when your schedule of events is made publicly visible on the Event Listing page and the available sales window. For all of these settings choose to Launch your schedule of events:
- Immediately
- On a specific date and time
- Each time slot published incrementally relative to its start date/time
Launch All Events
This controls when your schedule will be published and viewable by customers on the public Event Listing.
Open All Sales
This controls when sales open for the events in your schedule. This is separate from the Launch date, and you can have your events published and visible to customers before tickets can be reserved.
You can choose to Open sales for your schedule of events:
- Immediately
- On a specific date and time
- Incrementally, with Sales for each timeslot opening relative to its start date/time
Close All Sales
This controls when sales close for the events in your schedule. You can choose to close sales for your schedule of events:
- On a specific date and time
- Incrementally, with sales for each time slot opening relative to its start date/time
Sales close times can be set to close after the event start using a negative number. *The time slot must have a set end time.
Inventory Settings
Sometimes events will have varying capacity or pricing depending on the day/time of the week. With these settings, you can easily account for that variation in your schedule build.
Event Capacity
Choose for the event capacity of the individual time slots in this schedule to be the same as the Parent Event, or enter a custom capacity.
Active Price Levels
Choose for the Price Levels available for the Events in this schedule to be the same as the Parent Event, or make a custom selection.
Review and Build Schedule
Review
The review step provides a summary of the schedule build, and one last opportunity to verify everything is exactly right. The summary details the schedule dates, launch and sale settings, and any custom overrides. As with the preview steps, the Schedule Preview is available here as well, and provides a great visual reference against the summary.
When ready, click Build schedule to complete the process.
Build
After selecting Build schedule, you’ll be redirected to the event schedules page, where you will see all schedules that have been built for your Event Series.
Large schedules will not appear immediately, but will be built in the background.Background Activity can be monitored by clicking the pulse icon in the top right corner of the admin.
An email notification to your user’s email address will also be sent upon completion.
